Luminello to SimplePractice Migration FAQs

Q: Can I have more time to decide if I want to opt-in to migrating?

A: Unfortunately, that's not possible. However, if you opt in, you can always request later that SimplePractice delete your data should you decide it isn't the right fit for you.


Q: What changes should customers expect during this merger/migration, including the differences between opting in versus opting out?

A: During the merger/migration process with Luminello, customers will experience no changes to their accounts until the migration takes place, after which accounts will be set to read-only mode for 30 days, allowing viewing but not editing of data.

Those who opt out will not see immediate changes; however, they will be notified via the app about their account closure four weeks in advance, eventually moving to export-only mode to facilitate data exportation before the account closes. The transition to export-only mode is scheduled differently based on account type: free accounts on March 29, paid solo clinicians on April 19, and group accounts on June 14.


Q: When will the migration take place?

A: The data migration occurs overnight on the assigned date.


Q: Will we experience any disruptions to our service or support during the transition, and do these differ between opting out and opting in?

A: No, our support teams will be all-hands on deck supporting our customers at every step of the process, whether they opt-in or opt-out.


Q: Will we need to update our contracts or agreements with SimplePractice?

A: Yes, opting to migrate to SimplePractice requires consenting to SimplePractice's terms and conditions and their business associate agreement.


Q: Will I need to create a new account on the new platform?

A: A new account is automatically created for you when you opt-in for the migration. You will receive an email with instructions on how to set up and activate this account.


Q: As a group owner, will I need to re-invite my group clinicians and set permissions for them in Simple Practice?

A: No, you group clinicians and their data will be migrated. However, assistants will need to be re-invited. Once the data transfer is complete, permissions can easily be set up for them in Simple Practice.


Q: What data will be transferred to SP?

Q: What should I do with data that is not migrated?

A: Data that is not migrated should be exported using the ''Practice Export'' feature in Luminello. Please click here to learn more.


Q: Which patients are invited to the patient portal when I migrate?

A: Only patient charts that have been set to the ''Active'' status will be migrated to the SimplePractice.


Q: What should we do if we encounter any problems or issues during the transition?

A: Please contact our migration support team for support if any problems or issues arise during your transition to SimplePractice. You can see a full comparison here.


Q: Will there be any impact on our billing or payment methods for patients?

A: There will be no impact on your billing or payment methods for patients until your account is moved to 'View-only mode' and transferred to SimplePractice. At that point, receiving payments from patients and entering new billing transactions will no longer be possible in Luminello.


Q: How can I inform my patients about the migration, and what will happen to the patient portal?

A: After migrating, patients will receive an email notifying them of an important announcement, prompting them to log into Luminello. Upon logging in, they will see an in-app announcement detailing the change. We have made the patient portal message more prominent, allowing you to leave additional instructions for your patients. Patients will have 30 days to export any necessary data before the account is closed.

Q: What happens to patients' auto-payments when I migrate?

A: After the migration, all automatic payments will be halted. The balance of each patient at the time of migration will be transferred to SimplePractice, enabling clinicians to initiate billing through Stripe. For customers who do not utilize Stripe, manual charges can still be made in Bluefin using their PayConex account, and the transactions can be recorded in SimplePractice to maintain up-to-date patient balances. Alternatively, customers have the option to establish practice-wide or patient-specific automatic payments in SimplePractice.


Q: Can I use Stripe to collect payment from my patients?

A: Yes, you can set up Stripe on your SimplePractice account in order to collect payments from your patients. For more information on how to set up your Stripe, please click here.


Q: Can clinicians add new clients in SimplePractice while the data transfer is taking place?

A: To prevent duplicates, we recommend that you do not re-create your Luminello charts in SimplePractice. However, brand new client profiles can be created while the data transfer is taking place.


Q: Are there any new benefits or features we can expect to see with the merged company?

A: SimplePractice offers a fully integrated telehealth platform, calendar sync (including 2-way sync with Google Calendar), a mobile application, and more.


Q: Why do my notes look different on SimplePractice?

A: Luminello provides a rich text editor and stores notes in HTML format. In contrast, SP's notes are stored in plain text format and cannot display HTML formatting.


Q: Can I create calendar entries in SimplePractice while my data is being transferred?

A: To prevent duplicate calendar entries, we recommend that you do not re-create your upcoming appointments prior to the data transfer being complete. However, brand new upcoming appointments can be created. Please click here to learn more about how to create a calendar entry in SimplePractice.


Q: Can I opt-out of the migration?

A: Yes, you can opt-out of the migration at any time prior to the data transfer taking place. It is also possible to opt-out after previously opting in to the migration and having an assigned transfer date.


Q: What happens if I don't migrate?

A: Clinicians who choose to opt-out of migrating to SimplePractice or take no action upon the migration becoming available, will be given the chance to export their data until their account is fully closed.


Q: What does ''View-only mode'' mean?

A: Entering ''View-only mode'' means you will no longer be able to add new data to Luminello, including charts, notes, billing entries, appointments, and claims. At this point, you should transition to using SimplePractice for all such activities.


Q: What does ''Export-only mode'' mean?

A: Export-only mode means that you will not be able to access any features within Luminello; your only option will be to export your practice data.


Q: What steps do I need to take to submit insurance claims in SP?

A: In order to continue submitting insurance claims, a new connection must be established with SimplePractice's clearinghouse for insurance enrollments. SimplePractice offers fully integrated insurance billing features, including primary and secondary claim filing, as well as enrollment to receive Electronic Payment Reports (ERAs). Q: What happens to ERAs that come in to Luminello after I migrate to SP?

A: ERAs will continue to update in Luminello until you either cancel your Apex account or enroll in SimplePractice. Should an ERA intended for Luminello be received in SimplePractice, or if a payment is received in Luminello, please create an appointment in SimplePractice and manually add the payment.
