Does Luminello support multiple practices wishing to share a group account?

Yes, with certain limitations, Luminello supports multiple solo practices using our group functionality. Chart sharing, a group profile, and individual or separate merged accounts are possible in the account. That said, please read about the limitations first before moving forward.

Limitations for multiple solo practices (also known as "DBAs" or "loosely affiliated" groups) using group accounts

  • Only one practice can be the owner of the group data and is therefore responsible for all payments due to Luminello.  
  • Per Section 7 of our Terms of Service: "Clinicians whose accounts that are created at the invitation of, or merged into, a group acknowledge that the account and all data is owned by the group, that such data is subject to inspection at anytime by the group, and that upon account termination, the data remains the property of the group and cannot be exported or deleted without the group owner's consent."
  • If, at any time in the future, the group owner determines that the data of one or more charts should be moved out of the group and into a new Luminello account (for example, if one practice/clinician wants to leave the group and create their own Luminello account), Luminello charges a non-waivable fee of $250/hour for this service, with a minimum of four hours. (The actual time may be more; we will give you an estimate that you must approve before proceeding). Dr.First and other partners may also charge their own fees for data export.
    • We highly recommend each clinician create and use their own branch, for ease of reporting, as well as to reduce the time needed in the future should data need to be extracted.

Additional limitations for specific charts co-assigned to more than one practice/clinician

Regarding billing, each practice/clinician must:
  1. Keep an accounting of separate amounts due from the patient/client and/or their insurance. Luminello does not offer this ability, since there is only one "balance due" per chart available.
  2. Each clinician within a group can have their own merchant account with Bluefin which they will use when processing payments. If a new member would like a separate merchant account, we could manually add it.
    In the cases where multiple clinicians share a chart and wish to bill separately; PCI compliance prevents us from automatically sharing the same credit card details among multiple clinicians. This means that the patient would need to provide their card details separately for each clinician who wishes to bill them. This can easily be done on the patient portal where the patient enters the card details and then select the provider who will charge them. They can do this as many times as necessary depending on the number of clinicians who will charge them.
Regarding partner data:
  1. Each of our partners (DrFirst, etc.) has their own policies and terms of service regarding ownership of data and responsibility for fees due if data is to be deleted or exported. Please contact each partner you are interested in working with to clarify their policies before proceeding.
Regarding data ownership, deletion and export:
  1. Each practice/clinician must comply with all applicable HIPAA regulations re authorization from patients/clients to share protected health info.
  2. Data duplication: for reasons of data integrity, the same chart cannot be duplicated for more than one practice/clinician. Thus, if one practice/clinician wishes to leave the group, both practices must agree on which one will keep the data, and which will get a PDF export of the data. In case of disagreement, Luminello is bound, per the terms of service, to honor the group owner's request.
  3. Data deletion: if one practice wishes a chart to be deleted from our system but another practice does not, Luminello is bound, per the terms of service, to honor the group owner's request.
