How do I import info from old charts?

We'd love to get you up and running as soon as possible, and while there is no quick fix for transitioning from your old system to Luminello, we've tried to simplify this as much as possible:

  • To create a chart, you only need a first and last name!
  • Read below to see tips and learn about our custom onboarding services, including sending us a CSV of your practice roster, faxing us your charts, and more.

Tips for transitioning from your old system

Regardless of what system you've been using, consider either of these approaches:

  • The “Marathon” Route:  Spend a weekend, or block a day or two off from work. Transfer all the info. Done. (And for inactive patient charts, consider if you really need to transfer them over.)
  • The “Easy As You Go” Approach: Day by day, create new Luminello charts by spending a few minutes with patients/clients at the beginning or end of their sessions.


If you are switching from a handwritten system or your personal computer:

  • Notes:
    • Create a chart in Luminello in under 15 seconds
    • Upload the .docx/.pages file into each chart easily
  • Demographic and billing info:
    • When active patients/clients are in front of you in session, you could then get more non-required info if you want into the chart, such as, “we are starting to use Luminello, can we review – your address is … and your phone is … and your birthday is … ” – so that you don’t have to do it all at once.
    • For billing, you can say, “okay, you have a $100 balance … I’ll send you a final billing statement from our old system, then your first statement from Luminello will start with a balance of $100.”
    • To start the first note, consider copying and pasting your last note directly from your old EMR directly into Luminello.


If you are switching from another EMR/EHR:

  • Automated: We can import from many EMRs.  First find out from your current vendor what they can export.  Then, contact us to discuss arrangements.
  • Manual:
    • Notes:
      • Create a chart in Luminello in under 15 seconds
      • Use your old EMR’s “export chart as PDF” function, then
      • Upload the file into the new chart easily.
    • Demographic and billing info:

Custom Onboarding Options

If you'd like additional custom on-boarding assistance, we offer various options:

  • Basic chart set-up: $2/chart.  Includes:
    • Chart creation with basic demographic and contact info entered, based on a CSV (spreadsheet) file you send us. We have a template if you are starting from scratch that makes the process go faster; but if you have your own, we'd be happy to review it to make sure it will work.
    • One PDF upload of each patients' previous notes when you send us a PDF/Pages/Word file of the entire chart.  (If you would like to have each previous note separately uploaded, please see our advanced set-up package below.)  Note that the file will be read-only; you won't be able to copy/paste from it. 
    • Custom extra fields (like emergency contact info) are $1 more each/chart
  • Advanced chart set-up: $5/chart. Includes:
    • Basic set-up as above, plus
    • Send invites to your patients/clients to sign up
    • Upload up to two more attachments to each chart
    • Enter the initial billing balance
    • Enter the next appointment
    • Pharmacy info entered (for prescribers)
  • Additional services at $79/hour (contact us for a time estimate)
    • Enter all upcoming and recurring patient appointments
    • Enter past billing history
    • Enter past prescription history (for prescribers)
