Tell me more about inviting parents or others to the portal

Here's how you can invite parents, caretakers, or others to the patient/client portal. 

Note: For confidentiality reasons, family members do not have access to the patient's/client's forms or messages (unless they are purposefully included in the email string by the patient/client or clinician). 

  1. You can use the ''Shortcuts'' menu by selecting the chart and clicking on ''View profile info'' from the ''Go to'' dropdown. 

Or...

  1. Go to the "Profile" section within a chart.

2. Toggle to the "Family Info" tab, and select the appropriate option.

  1. For new family members, add the demographic information below, check the "Invite to Luminello" box, and click "Add" to send them an invite to create a portal account.

  1. To add a family member from your roster, type in the chart's name in the search bar, and select it from the list.

  1. Click on "Add."


Important to know about family members' accounts

1. Family members have their set of permissions, controlled by you.

2. Family members can switch between the patient's/client's portal account, and their account.

3. Messages and forms between clinicians and patients/clients or clinicians and family members are always confidential. The invitee can't see the patient/client's messages and forms, and vice-versa. There is no permission to override this.


Child patients/clients under 13 years of age

1. Children under 13 years of age cannot be invited to the portal. In this case, you can add a family member.

2. Even though the childre cannot have access to the patient portal, they do have a portal. An invited family member can go into the child's portal account, and, update the child's demographic info, book an appointment, set up credit card info, make payments, if the appropriate permissions are granted.

3. The option to consent to receive unencrypted notifications from their clinician will be disabled for child/adolescent charts. This is due to HIPAA regulations, which require us to protect the privacy and confidentiality of our younger patients. As a result, appointment confirmation and reminder emails for child/adolescent charts will not display the clinician’s name or office address.


When a patient/client turns 13

1. If you do not want the patient/client to have access to the portal, then no changes are necessary.

2. If you want the patient/client to have access to the portal, then you can now invite her/him as you would with any other patient/client.


Adolescent patients/clients between 13 and 17 years of age

1. Invite adolescent patients in the "Demographic info" tab and parents in the "Family Info" tab.

2. When setting permissions for family members, you must consider the following confidentiality issues in accordance with applicable privacy regulations and best practices.

3. If a parent already has been invited to another chart (for whatever reason), and they have set up an account, and you later wish to move them to the patient's/client's account:


When an adolescent turns 18

1. If you no longer want the parent to have any access to the patient's/client's portal, remove all the permissions for the family member.
